Facility Fee Policies and Procedures Agreement
NOTE: Reservations are not accepted for requests more than 1 year prior to the event date
Section 1 – Application
- It is recommended that all applicants call to schedule a site visit of The King Center facility prior to filling out an application to view and assess the amenities available. ALL site visits are “by appointment” ONLY. To arrange a site visit, please contact facilities@thekingcenter.org and Tangie Gray 770-231-6044 tgray@thekingcenter.org.
- Applicants requesting use of space must complete The King Center’s Facility Event Rental Request Application. Note: Applicants need to include everything they require for their event. Such as additional items (tables, linens, chairs......etc.) The client/applicant must inform The King Center of the recommended room set-up at least five (5) to seven (7) business days prior to the event date (if applicable).
- Any client seeking non-profit rates must qualify as a non-profit organization under Section 501 (c) (3) or other non-profit of the Internal Revenue Code and must submit a copy of a current letter of exemption to The King Center with your application.
- Applications are not accepted for the following days, New Year’s Eve, New Year’s Day, Martin Luther King Jr.’s Birthday, Martin Luther King, Jr. National Holiday, Memorial Day, Juneteenth, Independence Day, Labor, Day, Veteran’s Day, Thanksgiving Day, Friday after Thanksgiving Day Christmas Eve, and Christmas Day. There may be additional dates not listed on the above list.
- The Application is an executed agreement when both parties (The King Center and the Applicant) have signed the Agreement and The King Center has received payment. Therefore, just completing the Facility Rental Application and submitting it, is not confirmation of space rental. Note: All applications received requesting facility usage for a scheduled event date within 14 days or less will be charged a $50.00 Rush Fee.
- RUSH REQUESTS: Any application received with an event date of 14 days or less is a “RUSH APPLICATION REQUEST”. Omitted, illegible, or inaccurate information on the application, can result in DELAYED confirmation from The King Center. All “RUSH APPLICATION REQUESTS” require payment within 24 hours of receiving an invoice and/or confirmation (executed agreement) from The King Center.
- If your event is part of a RUSH APPLICATION process, your set-up requirements are due as soon as you receive your invoice and/or confirmation (executed agreement).
Section 2 – Payment/Cancellation/Refund
- Payment is due within seven (7) business days upon receipt of the signed King Center Agreement and/or Invoice. All RUSH APPLICATION REQUESTS should see Section 1 item #6 and #7.
- The King Center accepts Cash and Major Credit Cards (Master Card, Visa, American Express or Debit Cards). Cashier’s Check, Company Check, or Money Orders are to be made payable to The Martin Luther King, Jr. Center for Nonviolent Social Change. NOTE: If entities are paying by corporate check, the payment must be received 7 days prior to the event to allow enough time for their check to clear the bank, otherwise another form of payment must be used.
- All rentals are required to have additional security for their event. See Rate Sheet.
- All rentals are required to pay a cleaning cost. See Rate Sheet.
- All cancellations must be made in writing to The King Center. However, there will be no refunds issued due to cancellations (within 30 days of event) or inclement weather (barring a State Emergency) - including “RUSH REQUESTS”. Affected groups may request an alternate date(s) and every attempt will be made to reschedule, however due to other scheduling commitments, space availability cannot be guaranteed by The King Center.
- Approved refunds will be processed within 15 business days.
Section 3 – Media/Photography
Note: Any events involving media or photography will need approval and requires completion of our Media/Photography Release form from the Communications Department: Contact is Ms. Mina Bryant –
mbryant@thekingcenter.org. Basically, there is no photography or video in the exhibit areas, and no video in front of the crypt.
Section 4 – Parking
- The King Center allots three parking spaces per facility rental. The parking area is in the rear of The King Center, the following gate code for your 3 designated spaces is 1968, violators could be towed at the owner’s expense. Additional parking spaces outside of the gated area are first come first serve.
- The King Center will not be held responsible for any lost, stolen valuables, or any damage to your vehicles. We suggest you remove all important valuables from your vehicle.
- All other participants and guests should utilize parking that is available in the MLK, Jr. National Park Service parking lot, located at 417 John Wesley Dobbs (which is the Visitors Center FREE public parking area).
Section 5 – General Information
- Firearms are prohibited – no person shall carry, possess, have under the person’s control, convey, or attempt to convey a firearm, concealed firearm, handgun, or deadly weapon on The King Center’s property, parking lot, or facilities.
- Smoking & Illicit Drugs prohibited – smoking and all illicit drugs are prohibited on The King Center premises.
- Alcoholic Beverages – All alcoholic beverages are prohibited on The King Center premises.
- The sale or marketing of goods or services by private, corporate, nonprofit, or for-profit entities is not permitted. Currently The King Center rental space cannot be used for fundraising events, sell of tickets including raffles tickets; and no admission fees can be associated with your event.
- The King Center is not responsible or liable for any personal items, equipment, etc., left at the facility or its disposal after the event.
- List of prohibited rental events at the King Center:
- Weddings
- Wedding Showers
- Baby Showers
- Funerals
- Home Goings
- Parties (Including birthdays, anniversaries, retirements, etc.)
- Any event that charges an admission to gain entrance to the King Center facility. No admissions or registration fee can be collected or charged at The King Center). No contributions or donations can be solicited or accepted at The King Center.
PLEASE NOTE: Occasionally our facilities may experience issues with the heating and/or air conditioning units. In such cases you or your organization will have the option of accepting the building as is or rescheduling your event. When possible, we will notify you in advance of any issues with the building. Thank you for your cooperation.
